Privacy notice
DRAFT — this notice has not yet been reviewed by counsel. The retention periods in particular are our current working position.
Who we are. Corde Talent Agency (corde.live), a UK talent agency for circus and variety performers, is the controller of the personal data described here.
What we collect. For performers: the profile you submit (name, location, bio, disciplines, rates, availability, rigging needs, links), your account email, and your consent and agreement records. For venues: organisation and contact details, the briefs and roles you post, and your account email. For everyone: the content of messages you exchange through the platform, sign-in times, and records of the agreements you sign. We do not record IP addresses or device details against your account.
Why we hold it, and our lawful basis.
- To represent performers and run bookings — matching acts to venues, managing engagements and raising commission and placement invoices. Basis: performance of our contract with you, and our legitimate interests in operating the agency.
- To keep the platform safe and honest — including reading the content of messages between venues and performers (see below). Basis: our legitimate interests in preventing circumvention of the agency and protecting performers.
- To meet our legal obligations — as an employment agency under the Conduct of Employment Agencies and Employment Businesses Regulations 2003 (including the health-and-safety and qualification information we must obtain from a hirer before introducing you), and our tax and accounting duties. Basis: legal obligation.
- To verify your email and secure your account. Basis: our legitimate interests in security, and legal obligation.
We never sell personal data.
Messages on the platform. We store, and our staff can read, the content of messages exchanged through Corde — both between you and us, and between a venue and a performer inside an engagement. We do this to prevent people going around the agency after we have made an introduction, and to protect performers at private and unfamiliar venues. Our lawful basis is our legitimate interests in those two purposes; you can object at any time using the contact below. The same disclosure is made to everyone on the platform, so both sides of any conversation know it is read. We do not monitor email, phone or any contact outside the platform.
How long we keep it.
- Message content — while it may be needed to evidence what was agreed or to enforce the twelve-month non-circumvention term, and for up to six years after an engagement ends to cover the limitation period for a contract claim.
- Invoices, agreements and booking records — six years from the end of the relevant tax year, as our accounting and tax records require.
- Your profile and account — for as long as your account is active. If you close it, or ask us to, we delete or anonymise your profile within 30 days, keeping only what the records above require.
- Applications you did not proceed with — up to twelve months, then deleted.
Who we share it with. The agency's staff; our hosting and email providers, who process data on our instructions under contract; and, once we present or introduce you, the specific venue or performer on the other side of that engagement. We do not share your identity with a venue before an introduction. We may disclose data where the law requires it.
Where it is processed. Our systems are hosted in the UK/EEA. Where a provider processes data outside the UK, we rely on the UK's adequacy regulations or standard contractual clauses.
Your rights. You can ask us for a copy of your data, to correct or delete it, to restrict or object to how we use it (including the message-oversight processing above), and to receive it in a portable form. Where we rely on consent you can withdraw it at any time. Contact us using the details below, and you can complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we have handled your data.
Contact. Questions or requests about your data: sign in and message us, or write to us at Corde Talent Agency. (A published contact email address is being set up.)
